Staff Senate Meeting Minutes

November 14, 2006

10:00 – 11:30 a.m.

Present: Renee Bonner, Maria Corral, Gabriela de Anda, Alexis Dolan, Reuben Gutierrez, Beatrice Henson-O’Neal, Florante Ibanez, Elmo Johnson, Nora Jayne Mallen, Elmira Melgoza, Mary Moore, Gwen Part, Katleen Saturné, Faith Sauerwald, Tangee Smith-Hill, Teri Taylor

Absent: Kesha Burton, Karen Carmichael, Mike Carty, Crystal Dootson, Janet Lee, Rebecca Vizcarra

I. Christmas Party

· The Christmas party will be held in the Atrium of University Hall on Tuesday, December 19, from

3:00 – 7:00 p.m.

· Set-up for the music, food and refreshments will be further discussed in the coming weeks.

· A check-in table will be set-up to greet faculty and staff and raffle tickets will be distributed at this time.

· Decorations will need to be placed in Roski for the Christmas party. The Atrium will be decorated prior to the Christmas party.

· Volunteers are needed to assist in soliciting gifts from donors.

· Fr. Lawton will be present at the Christmas party and will address the faculty and staff at 4:00 p.m.

· Flyers for the Christmas party will be prepared and distributed to faculty and staff. RSVP will be required. Maria Corral has volunteered to prepare the flyer in Spanish to accommodate the Spanish speaking staff. Mary Moore will assist in distributing it to the Facilities Department.

· The Senators that have volunteered to assist in stuffing the envelopes (invitations) are:

· A recommendation to have a suggestion box at the Christmas party was made. Beatrice will make arrangements to have one placed in a convenient place.

II. Computer Lottery

· Rebecca Vizcarra will need assistance with the preparations of this lottery.

· The Senators that have volunteered to assist President Vizcarra are:

  1. Gabriela de Anda
  2. Jim Kelly
  3. Nora Jayne Mallen
  4. Mary Moore
  5. Beatrice Henson-O’Neal

· The maximum loan will be $2,200.00.

· The cut-off date to register for the loan lottery and drawing date have not yet been determined.

· Based on previous year’s comments and concerns and the increasing need for technology, we would like to add a Technology Loan component to the Computer Loan Lottery. This would enable staff to purchase other items like IPODS, Digital cameras, PDA’s LCD’s & Playstations, etc…

· If staff members choose to purchase Technology related items rather than computers, their loan amount will only be $1,200.00 maximum. All staff will know about this option and the loan amount prior to the lottery.

· It was recommended that the winners of the loan lottery be provided with a date in which to pay back the loan within the 2 year period and that the reimbursement due date does not exceed the 2 year period to ensure that these winners are able to register again for the lottery, if they desire, at the two year term.

III. Staff Awards

· This award will be issued at the same time as the Service Award (5 years, 10 years, etc.).

· Reuben Gutierrez will be communicating with Mike Wong, H.R. Specialist, to obtain further clarification on the needs and requirements to get this event announced and the process started.

IV. Senate Training

· We are hoping to organize a Senate Training in early 2007. Dustin Reece, Manager of Learning and Development will assist in coordinating this event. More details about this event are forthcoming.

V. Staff Picnic

· We will be planning a Staff Appreciation Picnic in May or June 2007. In the interest of time, we will discuss further details about this event at a later date.

VI. Raffle Sub-Committee

· We need to establish a Raffle Sub-Committee to help brainstorm and solicit donations from vendors year round.

· The Senators that have volunteered to assist with this committee are:

VII. Staff Senate Photo

· A group photo will be taken for our website at both of our next two scheduled meetings: December 20th and January 17th. The group photo will be taken for historical purposes.

VIII. Staff Senate Website

· The web address is: http://manegate.lmu.edu/hr/staffsenate

· We will need to update the website on ManeGate since the information that is currently listed is outdated. Rosa Calderon will be providing assistance in maintaining the website up to date.

IX. Vacant Positions

· The position for Secretary is vacant. Since we now have a full-time staff member to assist us (Faculty

Senate and Rank and Tenure), the role of secretary has changed in that there will now be some administrative support.

· We will hold elections for the secretary position in January 2007.

· Senators with one year tenure on the Staff Senate are eligible to run. However, since we have so

few Senators with Tenure, we can discuss in January if we should open this election to all current Senators.

X. Miscellaneous Business

· Future discussions will be held regarding prioritizing our goals, such as obtaining a Staff Lounge.

· We will meet again on Monday, November 19, ECC 1857, from 10-12pm, to further discuss the Christmas Party arrangements and to have committee or liaison break-out sessions. Those senators working at the Christmas Party will meet in the University Hall Atrium at their scheduled time. The next regular meeting will be Wednesday, December 20, from 10-11am in ECC 1775.

The meeting was adjourned at 11:30 a.m.
